If you search for a Zoho CRM Xero integration, you will find several. We could not find a Xero connector built by Zoho. What exists are extensions in the Zoho Marketplace made by other companies. That changes how you should choose one and what you should check.
Is there a native integration?
We did not find a Zoho help article for a Zoho-built Xero connector. In a Zoho community thread, a Zoho reply says there is no native integration between Zoho CRM and Xero and points to the Marketplace. The same thread has a later note that Zoho is working on one. We could not confirm the current status, so check Zoho's site before you decide.
Zoho's own community pages also point to Marketplace extensions made by Zoho partners. Treat each as a separate product with its own features, price and support.
Your options
Zoho's own community pages point to Marketplace extensions made by Zoho partners. Treat each as a separate product with its own features, price and support. The listings are short, and the real answers on direction, frequency and editions are often in the vendor's own documentation.
zsetup, the team behind this assistant, also makes a Xero integration for Zoho CRM. It lets you:
- see a customer's Xero invoices inside Zoho CRM;
- send invoices, contacts and products from Zoho CRM to Xero;
- sync quotes, with order sync and other customization available;
- connect more than one Xero organisation.
Whichever route you take, ask the questions below.
How to choose one
Before you pay, get written answers to these questions from the vendor or the listing:
- Which objects sync, and in which direction for each?
- How are records matched, and what happens to a duplicate?
- Which Zoho CRM editions does it support?
- How often does it sync, and how do you see failures?
- How are tax rates and currencies mapped?
- Which Xero organisations can you connect?
- What does it cost per month, and what happens if you stop paying?
Then try it on a small set of records during the trial. Do not skip this. Two extensions with the same feature list can behave differently on your data.
What goes wrong in any CRM and Xero sync
These are common to any accounting sync. They are not claims about one extension.
Duplicates. If the same customer is in Zoho CRM twice, the sync has to pick one or create a second contact in Xero. A name that differs by a space or a suffix can slip through any matching rule.
Products with no price. An invoice line with an empty or zero price carries that into the accounting system. A product missing its code or tax setting can fail, or come out wrong.
Wrong price book. If quotes pull prices from a price book that nobody updated, your invoices carry the old price.
Tax and currency mismatches. If a tax rate or a currency exists on one side and not the other, lines can be rejected or valued wrongly. Check how the extension maps both on a test invoice.
Direction confusion. If both systems can edit the same field and no one decided who wins, the last edit wins. That might not be what you wanted.
A pre-sync checklist
- Choose the integration and read its documentation.
- Decide the direction and the winner for each object.
- Find duplicate contacts and duplicate accounts.
- Check every product for price, code and tax.
- Update price books that are out of date.
- Confirm tax and currency settings match in both tools.
- Test with a handful of real records and compare both sides.
Where the Zoho CRM AI Assistant helps
The assistant works inside Zoho CRM, on request. It reads and lists records, and changes them only after you approve. It does not run, replace or configure any Xero extension, and it does not read Xero. It helps with the CRM data the sync starts from.
- Products with no price. Find products with missing prices lists active products with an empty or zero Unit Price, or without a Product Code or Tax. It fills in only the values you give it, after you approve.
- Out-of-date price books. Update list prices in a price book sets the prices you give for one price book, from your message or a spreadsheet, after you approve.
- Duplicate contacts. Find duplicate contacts by email groups contacts that share an email and suggests which to keep. Deleting extras asks for a final confirmation.
- Duplicate accounts. Find duplicate accounts groups accounts with the same name and shows the deals and contacts on each.
- After invoices arrive. List overdue invoices to call reads the CRM Invoices module and, once you approve, creates call tasks for account owners. It relies on the status stored in the CRM, so a paid invoice not marked paid there shows as overdue.
Pick the integration, clean up the CRM data it will start from, and test small. The assistant helps with the cleaning. It does not do the sync.
