Zoho CRM QuickBooks integration: setup checklist and common problems

Planning a Zoho CRM QuickBooks integration? See what syncs, which way, the gotchas on products and currency, and what to check in the CRM first.

The Zoho CRM QuickBooks integration connects your customers, products and finance documents to QuickBooks Online. It is a native Zoho integration, and it has rules that surprise people. Read them before you turn it on.

This post covers what syncs, how to enable it, what goes wrong, and what to clean up in the CRM first. It also says what the Zoho CRM AI Assistant can and cannot do here.

What syncs, and in which direction

From Zoho's help page for the QuickBooks integration:

  • Two-way: Contacts or Accounts, Vendors, and Products. You choose Contacts or Accounts, not both, and the choice cannot be changed later.
  • One-way, QuickBooks to CRM only: Quotes (estimates in QuickBooks), Invoices and Purchase Orders.

Only QuickBooks products categorized as Inventory are synced. The page lists Professional edition and above, in all data centers. Other Zoho pages we found give different edition details, so confirm it in your own account before you commit.

How to enable it

Only a Super Admin can enable it.

  1. In Zoho CRM go to Marketplace > Integration > QuickBooks and click Install.
  2. Log in to QuickBooks. If you have several companies, select one. A CRM account links to one QuickBooks company at a time.
  3. Click Connect.
  4. On the configuration page, choose the modules to sync and map the fields. Fields are filled in by default.
  5. Choose how duplicates are handled: skip, overwrite (you pick which system wins), or clone.

Zoho's page does not state a polling interval, so do not promise your finance team a sync time until you have watched it.

What goes wrong

You can no longer create quotes, invoices or purchase orders in the CRM. Once the integration is set up, those inventory records are read-only in Zoho CRM. They come from QuickBooks. If your reps create quotes in the CRM today, change that process before you switch on the sync.

A delete in QuickBooks is permanent in the CRM. Deleting an inventory record in QuickBooks deletes it in Zoho CRM too, and it cannot be undone from the CRM side.

Currency must match. The home currency has to be the same in both systems. If multi-currency is on in QuickBooks, it is turned on in the CRM. Currencies the integration creates get an exchange rate of 1, which you must update yourself.

Setup limits. Configuration fails if you have reached the custom layout limit for the inventory modules, or the custom field limit in any of the six modules involved.

Records land in an error list. Zoho groups the errors. From QuickBooks to the CRM: duplicate records, empty mandatory fields, products that are not in the CRM, and missing linked contacts, accounts or vendors. From the CRM to QuickBooks: a name already in use, text over the maximum length, a missing inventory As-of Date, an invalid website URL or date format. Records resync after you correct them.

Tax is not covered on that help page. If you charge tax, check how your rates are set up in both systems on a test record.

An alternative: zsetup's QuickBooks Online integration

zsetup, the team behind this assistant, also makes a QuickBooks Online integration for Zoho CRM. It lets you:

  • open a Zoho contact and see its QuickBooks Online invoices, with their paid or unpaid status;
  • create invoices in Zoho CRM and send them to QuickBooks Online with the items and clients they use, while QuickBooks invoices also appear in the CRM;
  • add estimates and other documents, larger volumes and custom field mappings as add-ons;
  • connect more than one QuickBooks company.

The data checks in the list below apply to either route. The items marked "native" apply only to Zoho's integration. With zsetup's integration, ask us how your invoices and quotes should be created before you start.

A checklist before you connect

  • Native: decide Contacts or Accounts. You cannot change it.
  • Confirm the home currency is the same in both systems.
  • Look for duplicate accounts and duplicate contacts. A name that exists twice is a common cause of "name already in use" and duplicate-record errors.
  • Check every product: price, code and anything else your documents need.
  • Check that the prices in your price books are the ones you want finance to see.
  • Native: stop creating quotes and invoices in the CRM, and tell the team. Zoho makes them read-only once the integration is set up.
  • Start with a small test, and read the error list before going wider.

Where the Zoho CRM AI Assistant helps

The assistant works inside Zoho CRM, on request. It reads and lists records, and changes them only after you approve. It does not run, replace or configure the QuickBooks integration, and it does not read QuickBooks. It helps with the CRM data the sync starts from.

  • Products with no price. Find products with missing prices lists active products with an empty or zero Unit Price, or missing a field such as Product Code or Tax. It fills in only the values you give it, after you approve. A zero price can be deliberate, so say which products to leave out.
  • A new price list. Update list prices in a price book sets the prices you give for one price book, from your message or a spreadsheet, and adds products that are not in it yet. It writes only after you approve.
  • Duplicate accounts. Find duplicate accounts groups accounts with the same name, and optionally the same website or city, and shows the deals and contacts on each. It can move them to the account you keep, after you approve. A name with and without "Ltd" is not grouped.
  • Duplicate contacts. Find duplicate contacts by email does the same for contacts that share an email.
  • After the sync. List overdue invoices to call reads the Invoices module for unpaid invoices past their due date and, once you approve, creates call tasks for account owners. It only knows what the CRM says: an invoice that was paid but not marked paid shows as overdue.

Clean the data, approve the changes you agree with, then connect QuickBooks. The integration does the syncing from there.
